How to Connect Your Email Inbox to HubSpot

(and Track Email Replies Automatically)

Why this is important

Connecting your inbox and installing the HubSpot email add-in ensures that:

  • Emails you send and receive are logged to contact records

  • Replies from contacts appear automatically in HubSpot

  • The whole team can see communication history in one place


Part 1: Connect Your Email Inbox to HubSpot

Steps

  1. Log in to HubSpot

  2. Click the ⚙️ Settings icon (top right)

  3. Go to General → Email

  4. Under Connected inbox, click Connect personal inbox

  5. Choose your email provider:

    • Gmail

    • Outlook / Office 365

  6. Sign in and approve permissions

✅ Your email inbox is now connected to HubSpot.


What This Does

  • Emails sent from your inbox can be logged automatically

  • You can send emails directly from contact records

  • Email opens and replies can be tracked


Part 2: Install the HubSpot Email Add-in / Extension

(This is required to track replies automatically)

Important:
Connecting your inbox alone is not enough.
You must install the HubSpot add-in or extension so replies are logged to contact records.


Option A: Gmail Users (Chrome Extension)

  1. Go to Settings → General → Email in HubSpot

  2. Find Email extensions

  3. Click Install HubSpot Sales for Gmail

  4. You’ll be redirected to the Chrome Web Store

  5. Click Add to Chrome

  6. Sign in to HubSpot when prompted

✅ HubSpot will now track and log email replies in Gmail.


Option B: Outlook / Office 365 Users (Desktop or Web)

  1. Go to Settings → General → Email in HubSpot

  2. Under Email extensions, select Outlook

  3. Click Install Outlook add-in

  4. Follow the Microsoft prompts to complete installation

  5. Restart Outlook if required

  6. Log in to HubSpot when prompted

✅ Emails and replies will now sync to HubSpot contact records.


How to Check It’s Working

  1. Send an email to a contact from Gmail or Outlook

  2. Wait for a reply

  3. Open the contact record in HubSpot

  4. Check the activity timeline

✅ The email and reply should appear automatically.


Helpful Tips

  • Use your individual work email, not a shared inbox

  • Make sure you’re logged into HubSpot in the add-in

  • You can turn logging on/off per email if needed

  • Avoid forwarding emails — send directly from your inbox
